New Features
Product Estimates - Commission
A product estimate can now add a commission on top of the markup for each quantity, in the same way as Standard Estimating (see Pricing & Accounting in Products, Pricing (tab) in Estimating, Pricing (tab) in the Product Estimate Tutorial, Accounting (tab) Explained in Customers Edit View, Costs in Costs and Prices and C in the Glossary).
Setting it up: Commission is set per product. In Setup > Products, click Edit, check Use Commission next to the default Markup %, then select the default C % and how the commission is calculated:
- % of Profit
- % of Value Added: the selling price less materials and outwork.
- % of Selling Price
- % of Cost Price
- 2nd Adjustment: a second markup on the cost plus profit.
- N/A: no commission.
Existing products and estimates were not changed. After the upgrade, Use Commission is unchecked for all products, and existing estimates are priced exactly as before.
On a new estimate for a product with Use Commission checked:
- The default C % and commission type come from the customer, when the customer has a commission type (other than N/A) and a C %. Otherwise, they come from the product.
- Each estimate keeps its own setting. Changing the product later only affects new estimates.
- The Pricing tab shows C% and the commission type next to MU%, and the quantity grid shows the C %, C Type and Comm. columns.
- With Override checked, you can change the C % and C Type per quantity, and Set applies the MU % or C % to the selected quantities.
How the price is calculated: Total (Exc) = Total Cost + Profit + Commission.
- The Quotation item gets the full price, including the commission. The commission itself is stored only on the estimate and is not copied to the Quotation item.
- When you fix the Total or Unit Sell, or the Min Price applies, the commission is calculated from that price and the profit is what remains.
- The cost summary shows a Commission line after Adjustment when there is a commission.
- As in Standard Estimating, commission counts as a Direct Cost, so it is not part of Value Added.
WYSIWYG HTML Editor for Emails, Templates and Stationery
You can now edit HTML emails, report email templates and Email Stationery as they will look to the recipient, instead of editing raw HTML (see HTML Editor in Output, General Settings in Output, Output (Print, PDF, Email) in Settings, Overview in Email Stationery, How to Send a Single Email in the Email Tutorial and Edit Reports List in Custom Reports).
Setting it up: In Main Menu > Setup > Settings & Defaults, set Output (Print, PDF, Email) > Use WYSIWYG HTML Editor to Yes.
The setting applies to the whole company. It is set to No after the upgrade, so nothing changes for your users until you switch it on.
When the setting is Yes:
- HTML editor window: The window (a report's Email Body, the global, branch and user Email Stationery, and Actions > Edit HTML on an email) opens on a new Editor tab. Its toolbar has the font, size, bold, italic, underline, strikeout, text colour, alignment, bullets and numbering, indent, hyperlinks, and undo and redo. The Code tab still shows the HTML. The Preview tab is no longer needed and is hidden.
- Merge fields: Click a merge field, for example,
[USERLISTNAME], to insert it on the Editor tab at the cursor. - Email form: The Content type field was removed, the Subject has its own full-width row, and you edit the message directly on one Editor page:
- Existing Plain text and Stationery emails are shown as they will be sent, and are saved as HTML.
- Sent Items are shown exactly as they were sent, and are read-only.
- Attachment links: Links added with Actions > Link Attachments are shown as
[[Links Start]]and[[Links End]]markers, and work as before.
Things to know:
- The toolbar has no table tools. Existing tables are kept and you can edit their text. To change a table's layout, use the Code tab.
- Emails are always sent as HTML. Plain-text emails are no longer sent.
- If an email or template contains HTML the editor cannot display, the editor says so and stays read-only, so the content cannot be damaged. Use the Code tab instead.
Changes to the HTML editor for everyone (with the setting Yes or No):
- A new Format button: Format by line lays out the HTML one block per line, with indenting (Ctrl + Z undoes it), and Wrap on width wraps long lines to the window width (display only).
- Insert Template moved to a Template button next to Format.
- The list of HTML tags on the left was removed. The left column now shows only the merge fields, and is hidden when there are none.
- Email Stationery can now set where the message goes: on the Code tab, add
<!--Message-->where the email text must be placed. Without it, the message is placed after the first paragraph, as before.
Enhancements
Product Estimates - MU % on the Pricing Tab – Changing the MU % of a quantity in the grid now recalculates that quantity straight away, instead of only when the estimate is saved (see Pricing (tab) in Estimating).
Ledger - Rep – The Rep shown for customer transactions in the Ledger (the list and the transaction screen) now follows the transaction, instead of always being the customer's rep (see Fields Explained: Transactions in Ledger List Views):
- Customer Invoices and Customer Credit Notes show the rep on the invoice or credit note.
- Receipts, journals and other ledger transactions show the rep of the first invoice or credit note they are allocated to.
- When neither gives a rep, the customer's rep is shown, as before.
Planning Board - Email Excel – The right-click menu on a Planning Board stage now has Email Excel, which emails that stage's grid as an Excel file, the same as Email Excel on other lists. It needs the same user access as Export Grid (General > Export Grids and Email Excel - Access Allowed). See Fields Explained in Production Planning - Board, User Settings in Grid Views and General in User Access.
My Organisation - e-Invoicing Scheme – The e-Invoicing tab in My Organisation has a new Scheme field (up to 10 characters), saved with the company details (see Fields Explained in e-Invoicing and E-Invoicing (UAE) in Customer Invoices).
Accounting Setup - VAT Type Code – The VAT Types grid has a new Code column (up to 10 characters). The upgrade filled in the Code of the existing VAT Types with the e-invoicing tax category:
- S (Standard) for 5% VAT.
- O (Out of scope), E (Exempt) or AE (Reverse charge) when the description contains "Out of scope", "Exempt" or "Reverse".
- Z (Zero rated) for the other 0% VAT Types.
- S for everything else.
You can change the Code in the grid. New VAT Types start with no Code (see VAT Types in VAT (Standard)).
Fixes
Spelling and Wording – Text on screens and in messages was corrected:
- The access messages now say Goods Issued and Goods Received (previously Good Issued, Good Receive and Good Received), and all use the same wording, for example, "Access denied. Editing rights to Goods Issued are required."
- "can not" is now "cannot", for example, "Cannot open Stock Transactions."
- Sales Order replaced Sale Order on the Copy to Sales Order screen, the Open linked Sales Order button on Supplier Invoices, the Supplier Debit Notes search filter and the setting captions (for example, Sales Orders - Copy to … and Copy Work Order Due Date to Sales Order Due Date). See User Settings in Sales Orders, User Settings in Customer Invoices, User Settings in Delivery Notes, User Settings in Purchase Orders, User Settings in Work Orders, User Settings in Material Movements, User Settings in Materials Settings, General Settings in Work Orders and General Settings in Copy Rules.
- Change Log: Access Allowed - Quotations (previously Qutations).
- The flexo die Material list: Pristine (previously Prestine). Dies already saved with Prestine keep that text until it is changed.
- The spelling of the Planning Board message about existing Tasks, and of the licence renewal message "License successfully renewed".
- UK spelling is used throughout: the Colour column and button captions (Inventory, Ledger, Planning Board, Service Manager, Service Manager Categories and Responses, and the Rich Text editor), Centre alignment in the Rich Text editor, and Cost Centres when selecting compatible machines for flexo dies and cylinders.
Customer Invoices - Copy from Sales Order – Items are no longer changed to a fixed price when they do not need to be. When a Sales Order item is copied to an invoice, BOS Pro checks that the invoice calculates the same total as the Sales Order. The check now uses the invoice's own calculation, so items with a large quantity, an Adjustment %, a price per quantity (for example, per 1000) or 3 decimals keep their unit price. An item is changed to a fixed price only when the invoice cannot reach the Sales Order total, for example, some items from older versions (see Header Details Explained in Copy Rules).
Customers - Addresses – After you select a new Delivery or Billing address in the grid, editing the old default address row before saving no longer undoes the Delivery or Billing choice (see Street Addresses (tab) Explained in Customers Edit View).
Customers - Addresses – A new address added in the grid now gets its address text (used on documents as the delivery or billing address) built from the address lines straight away, even when only other fields, such as the Lookup, are edited afterwards.
Customer Invoices List – The Updated column (hidden by default) now shows the date the invoice was last updated. Previously, it showed the user's name, the same as Updated by. Updated now comes before Updated by (see Fields Explained in Customer Invoices).
Tracker – Clicking Cancel without logging in no longer shows the error "Error trying to connect to database".
