Custom Reports Tutorial
Overview
💡These tutorials explain how to view a custom report, create and edit reports, add filters, charts and drilldowns, give users access and fix common problems.
For every button, field and setting on the screens, see Custom Reports.
How to View a Custom Report
Click the arrows next to the date range to move to the previous or next period. If the report has a drilldown, double-click a row to open the linked record.
- Navigate to Custom Reports.
- Select the report from the dropdown list.
- Set the filters that appear, for example, the date range or the customer.
- Click View (button).
- If the report has a chart, click Chart (tab) to see it.
How to Create a Custom Report
You need the Edit Reports - Access Allowed setting, and some knowledge of SQL. If you prefer, contact support to create the report for you.
The Fields tab only updates from a valid SQL query. If the message "Invalid SQL, fields not updated." appears, correct the query.
- Navigate to Custom Reports, click Menu (button) and select Edit Reports.
- Click New (button).
- Enter the Name and a Description of the report.
- Click Edit SQL (button), enter the report's SQL query and save it. The Fields tab now lists the query's fields.
- On the Fields tab, change the Caption, Alignment, Decimals, Summary and Visible settings as needed.
- Click Save (button).
- Give the users access to the report (see How to Give a User Access to a Report).
How to Change a Report Safely
- In Edit Reports, right-click the report and select Copy. Confirm the copy.
- Make your changes on the copy and test it on the Custom Reports screen.
- When the copy works, make the same changes on the original report, then delete the copy.
How to Add a Filter
A report's filters come from the parameters in its SQL query. The filter appears the next time you select the report. For the full list of parameters, see SQL Parameters in Custom Reports.
- Open the report in Edit Reports and click Edit SQL (button).
- Add the parameter to the query's conditions, for example,
where Q.QUOTEDATE between :DATESTART and :DATEENDfor a date range, orand Q.CUSID = :CUSIDfor a Customer filter. - Save the SQL and the report.
How to Add a Chart
- Open the report in Edit Reports.
- Select the Chart Type, for example, Column diagram.
- Click Chart (tab). Check the Category field (for example, the month) and the Series fields (the numbers to show).
- Click Save (button).
- Note: The report now opens with a Chart tab next to the Data tab.
How to Add a Drilldown
- Open the report in Edit Reports.
- Make sure the SQL query returns the ID of the record to open, for example, the Sales Order's ID.
- Under Drilldown, select the Module (for example, Sales Orders) and the Fieldname that holds the ID.
- Click Save (button).
- Note: Users can now double-click a row, or right-click it and select DrillDown, to open the record.
How to Give a User Access to a Report
- Navigate to Main Menu > Office > My Organisation, double-click the user and click Settings (tab).
- Find Reports & Dashboard > Reports - Access Allowed.
- Click Edit... and select the reports the user may view.
- Save the user's settings.
How to Add a Report to the Dashboard
To customise the charts and save the layout, see Customising the Charts in Dashboard.
- In Edit Reports, add the ID column with the Field Chooser (*) and note the IDs of the reports you want.
- Navigate to Main Menu > Office > My Organisation, double-click the user and click Settings (tab).
- Enter the IDs, separated by commas, in Reports & Dashboard > Dashboard - Reports (ReportID eg. 1,2,3).
- Set Dashboard - Rows and Dashboard - Columns for the layout of the charts.
How to Move a Report to Another Database
The output template is not part of the .qer file. Load it on the report's Template field.
- In Edit Reports, right-click the report and select Save to file. Save the .qer file.
- In the other database, open Edit Reports and click Load (button).
- Select the .qer file. The report is added with its SQL, fields and chart.
Troubleshooting
| Problem | Solution |
|---|---|
| The message "Please select a Report." appears | Select a report from the dropdown list before you click View. |
| The message "SQL Error. The SQL on the selected Report is invalid." appears | The report's SQL query has an error. Correct it in Edit Reports, or contact support. |
| The report is empty | Check the filters, for example, the date range, against the data you expect. |
| The report is missing from the dropdown list | You were not given access to it. Ask your administrator to add it to your Reports - Access Allowed setting. |
| The message "Access denied." appears when you open Edit Reports | You need the Edit Reports - Access Allowed setting. |
| Amounts or hours show as zero | The values may be rounded. Export the report and check the values in Excel. If they have decimals, increase the field's Decimals in Edit Reports. |
| The Output button is unavailable | The report has no output template. Use Menu > Print or Email, or load a template on the report. |
