Mobile App Tracker Tutorial

Overview

The Tracker on the Mobile App records the time spent on jobs. On a shared device, staff check in with their own PIN.

πŸ’‘These tutorials explain how to check in and share a device, and how to record timekeeping, downtime and team changes on the Mobile App Tracker.

How to Check In with a PIN

  1. Tap Check in with PIN on the Share Device screen.
  2. Enter your Tracker PIN on the PIN pad.
    • Note: Clear clears the whole PIN, not only the last digit.
    • Note: Tap Back to return to the Share Device screen.
  3. Tap Submit (the tick icon).
    • Note: "Invalid PIN" appears if the PIN does not match a staff member – the pad clears so that you can try again.
    • Note: "PIN not unique - contact admin" appears if more than one staff member has the same PIN. An administrator must give each staff member a unique PIN on the desktop system.

How to Hand the Device to Another Person

  1. Tap the button on the right of the Tracker header:
    • Sign out (shown when a staff member is checked in) opens the Enter your PIN screen directly.
    • Share (shown when Tracker is used with the signed-in account) opens the Share Device screen.
  2. The next person checks in with their own PIN.

How to Return to Your Own Account

Note

Share Device Mode only applies to Tracker – every other module still uses the account you are signed in with. Checking in, or tapping Sign out in the Tracker header, does not sign you out of the mobile app. The PIN is a short numeric code, not the staff member's app password. It is the staff member's Tracker Login (PIN) setting on the desktop app (not the PIN field in the Time and Attendance section of their staff details) – see Settings & Permissions. The PIN does not appear anywhere in the mobile app: if you do not know yours, ask an administrator to look it up or reset it on the desktop system.

  1. Tap Sign out in the Tracker header.
  2. Tap Back on the Enter your PIN screen.
  3. Tap Use my signed-in account on the Share Device screen.

How to Start Timekeeping

  1. Select the Stage.
  2. Tap the task in the Tasks list and tap Start Timekeeping.
  3. Tap Setup, Run or Washup if the Choose a Tracking Type popup appears.
  4. Tap Confirm if the Confirmation popup appears (you already have an active job).
  5. Fill in the Start Timekeeping screen as follows:
    1. NCR = Select the non-conformance report the work relates to, Not linked to NCR or NCR Pending.
      • Note: This field is only shown if your Timekeeping: Enabled Non-Conformance Reports (NCR) setting is enabled, and must then be filled in.
    2. Workstation = Select the workstation.
    3. Item = Select the Work Order item.
    4. Note = Enter a note (optional), or select a predefined note from Note Lookup and tap + to add it.
  6. Tap Start.
    • Note: The job is listed under Active Jobs.

How to Edit Timekeeping

  1. Tap the job (or downtime) in the Active Jobs list and tap Edit Timekeeping.
    • Note: The top of the screen shows the start time and elapsed time.
  2. Edit the Note as required.
    • Note: The workstation is chosen when you start timekeeping and cannot be changed here.
  3. Tap Save.

How to Change a Running Job

Note

The Workstation and NCR fields are not shown when you change a job. The workstation is set when you start timekeeping; to work on a different workstation, stop the job and start timekeeping again.

  1. Tap the job in the Active Jobs list and tap Change.
  2. Tap the new tracking type if the Choose a Tracking Type popup appears.
  3. Select the new Item and edit the Note if required.
  4. Tap Change.

How to Stop Timekeeping

  1. Tap the job (or downtime) in the Active Jobs list and tap Stop Timekeeping.
  2. Fill in the Stop Timekeeping screen as follows:
    1. Completed Qty and Spoiled Qty = Enter the quantities completed and spoiled.
      • Note: These fields are only shown for Run jobs – not for Setup or Washup jobs, or when you stop downtime.
    2. Status = Select Part Complete or Complete.
    3. Note = Enter or add a note (optional).
  3. Tap Stop.

How to Record Downtime

Downtime records time when a machine is stopped or work cannot continue. It is not linked to a Work Order.

  1. Tap Downtime.
  2. Tap Confirm if the Confirmation popup appears (you already have an active job).
  3. On the Start Downtime screen, select the Workstation and enter or add a Note.
  4. Tap Start.
    • Note: The downtime is listed under Active Jobs.
  5. To end the downtime, tap the downtime row in the Active Jobs list and tap Stop Timekeeping.

How to Update the Team

The Update Team popup sets the number of people working on an active job. It is only available for Work Order jobs, not downtime.

  1. Tap the job in the Active Jobs list and tap Update Team.
    • Note: The popup shows the Work Order reference and the current number of people.
  2. Tap + or - to set the number of people.
    • Note: - is disabled at 1.
  3. Tap Save.
    • Note: Save is disabled until you change the number. The team tag under Active Jobs is refreshed.
    • Note: Tap Close to close the popup without saving.
