Outsourced Estimates

Overview

An outsourced estimate (also called outwork) prices a job, or part of a job, that a supplier produces for you. It is a line on a Quotation, with the item type EOS (see Item Types in Quotations).

  • As with other estimates, the cost is made up of Materials, Services and Outwork, marked up to give the sell price.
  • The items on the estimate come from the Services, Materials and Products setups. Their details are changed in those setups.
  • You can add an estimate to a new Quotation, or to an existing one in a Pending status.

For step-by-step instructions, see the Outsourced Items Tutorial.

Tabs Explained

Tab Description
DescriptionThe estimate's Description (shown on the Quotation Letter, the Quotation sent to the customer), Size and Category, and its quantities. The categories are set up on the Quotations list with Menu (button) > Edit Categories, and the sizes with Menu (button) > Edit Size Lookup. As the other tabs are completed, their items' descriptions are added here; check or uncheck an item's D checkbox to include or leave it out. The Internal Notes are added with Add or Edit.
Pre-PressThe pre-press services, each with a quantity, and a comment field for remarks about this estimate. Add adds the selected service; the arrow on Add offers:
  • Add Custom Item: Opens a blank Pre-press form.
  • Add & Edit: Adds the selected service and lets you edit it.
  • Update selected item: Updates the selected items from the Services setup.
The D checkbox includes the item in the estimate description, and the A checkbox includes it in the estimate.
PartsThe job's specification, in three grids:
  • Printing: Each Part with its colours front and back and its Substrate.
  • Finishing: The finishing descriptions.
  • Suppliers: Each supplier, with an Active checkbox, a reference and a price per quantity. Up to five quantities are editable in the grid; with more, click Edit Qty & Price (button).
MaterialThe materials, filled in from the setup; you can add more. Each material has a quantity type:
  • Fixed: The quantity stays the same, whatever the estimate quantity.
  • Est X: The quantity is the estimate quantity, updated when the default estimate quantity changes.
  • Est /: The quantity is the estimate quantity divided by the quantity per unit, updated when the default estimate quantity changes.
The arrow on Add offers Add Custom Item, Add & Edit and Update selected item (from the Material's setup).
DespatchThe packaging, destination and delivery option (see Packaging and Despatch). The arrow on Add offers Add Custom Item, which opens the Packaging and Delivery tabs, and Add & Edit.
CostsThe costs of the estimate, grouped by the radio button you select on the top row.
PricingThe markup percentages, costs, profits, commissions and sell prices per quantity. To add a range of quantities, fill in the fields next to Batch Update (Qty, Qty to and Step) and click Add (button). Check a quantity's checkbox to make it the default.
OverridesEvery field changed from its default, for example, from its Service or Material setup.
SummaryThe summary section at the bottom summarises the costs and prices. You can add quantities and select the default quantity here or on the Pricing tab. The default quantity sets the price; the other quantities are shown for comparison.
